Objective
As an Outreach Admin, configure Kaia permission settings, which provide a way for organizations to remove unauthenticated access to call recordings and meeting details, as needed. This includes Users’ ability to download or externally share call recordings, as well as to remove sensitive information from Kaia post-meeting summary emails.

Overview of Kaia Permissions
Kaia Permissions settings provide a way for organizations to remove unauthenticated access to call recordings and meeting details within post-meeting email summaries.
Key functions
- Allows or removes user’s ability to download or externally share call recordings.
- Allows or removes meeting details from the post-meeting email summary.
Considerations
- These settings apply to all users at the organization and to all Kaia recordings in the instance, past and future.
- Past links generated for a call recording will be immediately disabled when the permission to generate sharing links is removed, regardless of set access duration.
Procedure
- Access the Outreach Platform an an Admin.
- Navigate to Administration > Tools > Kaia. The Kaia settings page will open.
- In the General tab (default), scroll down to Permissions.
- Under Permissions, check or un-check the following items to manage whether Kaia users in your org can download Kaia call recordings or generate a public link to share the recording (read: the visibility of the corresponding control buttons on the recording page):
- Allow users with access to download recordings.
- Allow users with access to generate a public link to share recordings.
- Under Summary email, check or un-check the item Include details of meeting notes, action items, and content cards in the email summary. This adds or removes these details from all Kaia post-meeting emails for all users in the organization.
