If you’re like many other sales reps, you reuse similar email content everyday. Outreach allows you do this at scale and layer in as much personalization as you’d like. Templates provide you with content to send the same message to multiple prospects.
Create a New Template
To add a template, simply click the Actions button located at the top right hand corner and select template:
Or go to the templates tab and select '+Template':
Give your template a unique name, which will help you identify the template for later use. Similar to composing an email, the subject and body of the template page are associated with the subject and body of the email that will be delivered.
At the bottom of the compose window you have a number of options. From left to right, you can format the template text, add a hyperlink, image, or attachment; and enable click & open tracking.
Link tracking lets you see who has clicked a link in their email template. Enabling link tracking will give the user analytics on how many people are using links in sequences and templates. Open tracking enables you to see who has opened your email. Open tracking is defaulted on, and link tracking off. The options that you select on the template editing page are sticky, and will apply to any emails delivered using this template.
On the far right side is the variable menu, which pulls information from the prospect profile to create personalized emails. We recommend always including the first name variable in your greeting and ending your emails with the sender’s first name variable.
As the template is created, a preview box will display how the email would look like if sent to a prospect. It will use an example prospect from your own list. This preview is the best way to know you’ve correctly used variables. You’ll know the variable you’ve used is correct when it is highlighted yellow. If your variable is highlighted red it means the example prospect is missing the required data. If your variable is not highlighted yellow or red, the variable has something wrong and you should remove it and re-add the variable. Outreach will automatically fail any content with broken variables as a safety setting.
When copying and pasting content into templates, fonts and text formats may differ. You'll be prompted to remove the formatting, which we recommend accepting to ensure the template is uniform when delivered to a prospect.
