Admins can control who gets to create templates or sequences and can even limit the sharing of sequences with the organization as whole. Most commonly, managers or admins prefer to only share approved sequences or templates with everyone using Outreach but allow individual users to create private sequences that aren't shared with the larger group. This strategy gives freedom to the end-user to be more creative while at the same time, leaving the control in the hands of leadership to determine what sequences or templates are standardized across all users.
Use Tags to group similar record types together
Like Smart Views, Tags can be used across all record types in Outreach (sequences, templates, prospects, accounts). Tagging similar records helps to organize and filter by them later, as well as enabling more effective Smart Views, creating more streamlined Account or Contact management. For example, if you have 200 sequences currently running, you may want to tag certain types of sequences so you can easily filter between "Marketing" vs. "Inbound MQLs" vs. "Enterprise".
Set up Smart Views
Smart Views allow you to save your favorite search queries into a 'folder' that enables intelligent organization of lists, making it easy to find and select a group of records (sequences, templates, prospects, accounts) that match certain criteria. For example, if you run a search for all sequences that have the "Executive" in the title, have the tag "Marketing" and are currently in the "Active" status, you can then save that filter and come back to it later to easily view and take action. This essentially a creates dynamic list for users to work from so organization is easy and clean.
Lock Old Sequences or Templates
Over time, you will find sequences that do or do not work. Locking old sequences or templates is a good way to clean up the list of sequences/templates that users have access to, leaving only the best performing ones for the users to work with.
