There are 4 types of tasks you can create:
Email - This will allow you to create an email task for the prospect.
Call - This will allow you to create a one-time call task for the prospect.
Meet in Person - This will allow you to create a meeting task for the prospect.
Action Item/Generic Task - This will allow you to log an action item (such as add on LinkedIn or send flowers) for a prospect.
To create a task, simply select the + icon next to the tasks menu and it will allow you to select Create New.
Tasks can also be created in the prospect profile. In the prospect overview page, select "New Task" on the prospect sidebar:
You will be prompted for more information regarding the prospect, the priority of the task, who the task is assigned to, the due date/time and any notes associated with the task.
Tasks can also be created as part of a sequence step. Once the step is created (manual email, phone call, generic task), the task will be generated when the prospect is active in the associated step.
You can view the tasks in a few different places in Outreach. The first place to view tasks is in the 360 view, where you can sort your tasks by priority or engagement:
You can click on the blue button on the top right of this page section to enter the task workflow (see below for more information).
Tasks are also visible in the task overview page, found on the left-hand navigation bar.
You can select the tasks you'd like to complete and click on the play button to enter the task workflow.
In this view, when a task is completed Outreach will automatically advance to the next task in line, helping make your workflow more efficient:
You can mark single tasks complete from the Task overview page by selecting the task to finish > select More > choose Mark Complete.
You can also visit the prospect's activity page to complete tasks. Tasks associated with the prospect profile will appear at the top of the activity history. Simply click to enter the task flow for the single task and mark as complete:
If a call task associated with a sequence step is marked as "answered" Outreach will remove the prospect from the sequence and mark the prospect as finished:
Similarly, if a one-off call task (a call task not associated to a sequence step) is marked as finished, Outreach will ask if you want to mark the prospect as finished from any active sequences or let the prospect remain active in the sequence:
This ensures that prospects will not continue to receive sequence emails if they have already responded to you, or allows the prospect to remain in the sequence for follow-up if needed.
Tasks can be edited in the prospect profile. Find the task on the top of the prospect activity history, click on the green arrow next to the task, and select "edit":
You can make single or bulk modifications from the 360 view or Task overview pages. The modification options include:
- Reschedule task due date
- Reassign task ownership
- Deliver Email
- Skip sequence step associated with task
- Mark Complete
- Delete task
- Export Tasks or Prospects
- Synchronize with Salesforce
- Change Task priority
From the 360 view, select the tasks you need to modify and click on the dropdown arrow next to the option to "Start Tasks":
From the Task overview page, select the tasks that need to be modified. You can reschedule tasks by clicking on the clock button, reassign task ownership with the silhouette, delete tasks by selecting the trash can, or view other options under More. The task overview page contains options that are not included from the 360 view, so we recommend making modifications from this page.
