The purpose of this article is to provide information to Outreach users regarding Advanced Task Mapping for Microsoft Dynamics.
Note: Admins must contact Outreach Support to enable the Advanced Task Mapping functionality prior to configuration.
Outreach performs a bi-directional sync on Lead and Contact statuses. Your Outreach account comes with the following set of sample stages that map to Lead or Contact statuses:
- Do Not Contact
- Bad Data
These stages are included as best practice examples. For example, if you want to set a Lead status as New, other individuals using Outreach would know that the Lead has not been touched. If the status was set to Approaching, others would know that someone is in communication with the Lead.
If you want to track records at a more detailed level than what is provided as a boilerplate, Outreach Admins can make adjustments. Once the stages have been added, removed, or modified within Outreach, the stages can be mapped 1:1 to the Lead or Contact statuses in your CRM.

What Advanced Task Mapping Does
Advanced Task Mapping enables the syncing of specific data points from activities created and completed in Outreach to specific fields in Microsoft Dynamics' activity logs. Advanced Task Mapping is helpful for Sales Managers and MS Dynamics Admins to run reporting in MS Dynamics on open or completed activities within Outreach.
Enabling Advanced Task Mapping allows users to:
- Map to custom fields on the task object instead of the activity history.
- Push Prospect engagement data to fields on the Prospect Record.
- Consolidate events.
- Granularly configure how activities are posted in MS Dynamics.
In addition, Advanced Task Mapping allows users access to four new objects in the Types list:
- Tasks -- General Task
- Phone Calls -- Call Record
- Emails -- Email Record
- Appointments -- Meetings booked through Outreach Meetings that are associated to an Outreach Prospect will sync to the corresponding Dynamics Lead/Contact.

Defining Sync Options
Outreach suggests enabling the Pushing, Outbound Create, Outbound Update, and Inbound Update options.
The following table illustrates the purpose of these objects:
|Pushing||Automatically pushes tasks from Outreach to MS Dynamics.|
|Outbound Create||Grants permission to create new tasks in MS Dynamics.|
|Outbound Update||Allows open tasks to be marked as completed in MS Dynamics upon task completion in Outreach.|
|Inbound Update||This option allows for updates made in MS Dynamics to sync to Outreach.|
Polling and Inbound Update are not used or necessary on the customization activity mapping since all task creation and updates will be made in Outreach and pushed to MS Dynamics.
Note: Tasks created in MS Dynamics will not be polled into Outreach, even if the polling option is enabled.
Defining Field Settings
Field settings determine which fields on the MS Dynamics task should be updated by Outreach. The available fields differ based on the task type that is mapped in the MS Dynamics plugin.
Each task type will already have the standard MS Dynamics mapping created; however, custom templates are available for use if an Outreach field does not exist or does not match the corresponding MS Dynamics field that the user would like to map.
