Purpose:
The purpose of this article is to provide information to Outreach users regarding the Display Record Name feature in Outreach.
Q: What is the Display Record Name feature?
A: Display Record Name imports CRM record names instead of IDs, when mapping a CRM lookup field to non-lookup field in Outreach, such as a text field.
Q: What is a CRM lookup field?
A: A CRM field that relates two records together. Any time you click on a field in CRM and can open another record, you are likely clicking on a lookup field.
Q: Who is this feature available too?
A: This feature is enabled for all Microsoft Dynamics 365 Sales organizations by default. Salesforce is available upon request, while in beta. Please contact Outreach Support to enable for Salesforce.
Q: How do I enable this feature?
A: For more information on setting up and start using the Display Record Name feature in Outreach, refer to the How To Map the Display Record Name field for Salesforce, or the How To Map the Display Record Name field for Microsoft Dynamics articles as applicable.
Note: Always test CRM plugin settings in Outreach sandbox before making changes to your production system as data corruption can occur if the plugin settings are incorrectly configured.
Q: When would I use this feature?
A: Whenever you map an Outreach text field to a CRM lookup field, and you want to import the record name of the related CRM object, referenced in the CRM lookup field. By default, with this feature disabled, Outreach imports the CRM record ID of the related CRM record referenced in the CRM lookup field, when mapped to an Outreach text field. Some common uses are:
- Mapping AE Owner (user lookup field) for leads or contacts to an Outreach custom field.
- Mapping CRM campaign field for leads or contacts to an Outreach custom field.
- Mapping CRM lead source lookup field to Outreach Prospect Source field.
- Mapping CRM custom lookup fields to Outreach custom fields.
Q: Will I need to re-synchronize my data?
A: Yes. Outreach text fields can only store one value simultaneously: Record ID, or Record Name. Once the Display Record Name feature is enabled, Outreach will import record names instead of record IDs from that moment on, but does not retroactively update existing data; therefore, re-syncing data between the platform and the CRM instance is crucial to ensuring current and accurate records.
Q: Do I need to update my existing inbound create or update CRM plugin conditions?
A: Yes. If you have plugin conditions filtering on values stored in Outreach text fields mapped to CRM lookup fields, you will need to update the conditions before enabling Display Record Name; otherwise, your existing conditions will break, causing problematic syncing of records.
Q: Can I update CRM lookup fields from Outreach?
A: No. Outbound Create and Outbound Update will be disabled for the update Outreach field when enabling the Display Record Name feature.
Q: Does this feature support custom CRM lookup fields?
A: Yes. The Display Record Name feature supports both out-of-the-box and custom CRM lookup fields, as well as out-of-the-box and custom Outreach fields.
Q: Do I need to update my saved searches?
A: Yes. Saved searches must be updated; otherwise, your searches will stop working after enabling the Display Record Name feature.
