Improve transcription with Kaia Vocabulary and website settings. This improves topic categorization, transcription, recognition of of keywords, and the ASR model powering your org’s conversation intelligence.

Procedures
Access Kaia Settings
- Log in to Outreach as an Admin.
- In the left nav, click Administration.
- Click Tools > Kaia to open the Kaia settings page.
Update Kaia Vocabulary
- On the Kaia settings page, click to open the Vocabulary tab. Here you can add terms to Kaia’s vocabulary to improve speech recognition for that word.
- Click Add term to add a new word/phrase.
- Term is the word/phrase that you want to be recognized and included in your Kaia transcript.
- Replaced words / phrases are the words or phrases that may be incorrectly transcribed that you want to ensure are recognized as the key Term and accordingly replaced in the Kaia transcript.
- Optionally select which language you want the Term to be recognized and replaced in.
- Once added, the Term entry will be added to the Kaia vocabulary list.
- Optionally manage your vocabulary list as needed.
- Use the Search, Add filter, and Sort by options above the list to find specific terms.
- Click the ⋯ (three dots) menu to the far right of a vocabulary entry to Edit or Delete it.
Add Website(s)
Add links to your company’s website(s) to allow Kaia to search for common terms and feature names to provide more accurate meeting transcriptions.
- On the Kaia settings page, click to open the General tab.
- Scroll down to the section Expand Kaia's vocabulary.
- Click Add link.
- Enter your company website address into the field.
- Optionally add additional links via the Add link button. For example, if your support/help website would provide useful terms and is hosted separately from your main website, you may wish to add it, as well.
- Click Save at the bottom of the screen to save these settings.
Can I upload or link to static files or non-public collateral/material (such as e-books, PDFs, slide decks, etc) to train Kaia transcription?
No, at this time, you can only add publicly accessible website URLs to be referenced for Kaia transcription improvement and key term recognition.
Do I need to include links for different pages of our website?
No, you'll just need to save the root link of your organization's website.
Best Practices for Enhancing Kaia Vocabulary
- When considering what website(s) to add, think about what site(s):
- will provide helpful terms and usage.
- have publicly accessible content (Outreach/Kaia will not be able to "log in" to access any pages or areas with content that requires authentication to view).
- are hosted separately from your main website. Even if they have a common domain, sites maintained for different contexts (e.g., marketing, support, API/dev, training, community, etc.) often live on different platforms.
- Use Kaia Vocabulary for important keywords, particularly when you notice incorrect transcriptions.
- For terms with standard pronunciation, like Salesforce, you can simply add the term to the vocabulary.
- For terms with non-standard pronunciation, like SASE, add replaced words (like sassy) that should be replaced with the correct term.
- Add single terms with multiple alternative transcriptions. For example, add term Kaia with replaced words Kaya, Kiya, and Kya.
- Add terms for a noun that makes up multiple words. For example, add the term Hubspot with replaced phrase hub spot.
- Add longer terms to ensure they are captured as a single grouped term -- e.g., Microsoft Dynamics 365 Sales.
- Avoid adding common terms as additional transcriptions. For example, don't add the replaced word mark as an alternative for term Marq.
