Objective
The purpose of this article is to provide information to Outreach users and admins about custom reporting layouts. This new reporting capability provides customization and flexibility to admins and users alike by allowing them to choose the pre-configured metrics they want to use in their reporting, and in the layout of their choosing.
Applies To
- Reporting
- Admins for configuration, all users for consumption and potential creation
Before you begin
- The reporting tiles currently available in custom reporting layouts are limited to Engage related content, and does not yet include any reporting tiles for Kaia, Forecasting, Deal Management, Admin Health or other areas of the platform.
- Both the default reporting layout and the ability to create, share and view other users layouts can all be controlled by the admin.
Overview
With this release, users will be able to set up a custom reporting layout, configuring it from a selection of several pre-built reporting tiles. Users will be able to customize their own layouts using these tiles, or choose from two predefined layouts from Outreach to start, including (1) Performance and (2) Team Activity, which have tiles already enabled for common use cases of managing team performance and reviewing team activities.
A preview of the Performance template is included below:
These capabilities benefit users by providing them with the flexibility and curation of metrics that matter most to them. They can then streamline decision making with the information they need from a single pane of glass.
Users can use any delivered layout such as the two Outreach delivered layouts - Performance and Team Activity. They are also able to create a new layout from scratch, or clone an existing layout.
When creating a new layout, users start with a true blank canvas.
Users can then select from several tiles made available for addition into the layout. These tiles can then be rearranged, resized with snap-to-grid functionality for ease of alignment, duplicated or removed.
The layout can then be saved and stored in a dropdown of available layouts, displayed in “Your Layouts”, alongside the pre-delivered Outreach Layouts, and any other layouts that have been shared with you from users in your company under Company Layouts.
Users can set any layout as their default reporting layout, and that layout will be what shows up when they select the Overview report under the reports section.
Available Titles
Each tile contains a pre-built set of metrics, charts and/or tables, each with their own interaction patterns. A description of each tile, its available interactions, and other information are included below:
Call Outcomes
This tile displays metrics for total answered calls, not answered calls and not logged calls, along with a stacked bar chart for the same metrics over the time range selected.
Drill-in to areas of the bar chart to review detailed data on that date by call category. The table returns user name, number of calls (by the category), total time spent, average duration. Second-level drill on the user returns a table including prospect, account, time & date, duration and disposition.
The data is near-real time. This tile mirrors the same chart on the Team Activity report.
Email Delivery
When viewed from the “Delivery states” filter specific to this tile, this displays metrics for total delivered, scheduled and bounced emails, along with a stacked bar chart over the time range filtered. The chart can also be filtered to “Email origin” which then displays metrics for In-sequence, one-off or bulk emails,, along with a stacked bar chart for the same metrics over the time range selected.
Drill-in to areas of the bar chart to review data on that date by email category. The table returns user name and count (by email category). Second-level drill in on the user returns a table including prospect, accounts, and email message.
The data is near-real time. This tile mirrors the same chart on the Team Activity report.
Email Engagement
This tile displays metrics for the percentage of total email open rate, reply rate, opt-out rate, and click rate. It displays a bar chart over the time range selected for the specific metric selected in the tile. Each metric can be selected.

The data is near-real time. This tile is new content that does not mirror another existing chart.
Leaderboard
This tile displays a ranked table of the teammates by the metrics selected in the filter. Metrics available to filter by include Calls Made, Emails Delivered, Meetings Booked, Meetings Held, Outbound Calls, and Prospects Added. FOr each team member it includes the rank, as well as the specific value for that member’s activities. The full team list can be paginated.

Administration
There are two areas that administrators will be able to control this feature.
The first is under Users & Permissions > Layouts, where admins can select which reporting layout they want to display as standard for their organization’s Report Overview section.
The second is under Profiles > Sales intelligence tiles. Here you can configure controls at the profile level. This includes which intelligence tile layouts a profile can view - either just the ones owned by them, or owned by anyone. Admins can also set profile level default layouts, like the organization level setting above. Admins will also be able to select what users in this profile can do with the tile layouts, including if they can create new tile layouts and or share the ones they’ve created.
The default for these controls are that users can only view private layouts owned by them, but anyone can create new tile layouts and share tile layouts that they’ve created.
*Note: these controls apply to all sales intelligence tiles, not just reporting.
Additional Information
Frequently Asked Questions
Q. How can I manage my company layouts section from becoming overpopulated with user layouts?
A. Consider and use the profile settings thoughtfully by only allowing the users that need to to be able to share what they’ve created, or view private layouts by anyone. As a default we would recommend starting with just administrator access to viewing private layouts by anyone.
Q. If my users do create many layouts, is there a mass delete capability?
A. Not at this time, but we are considering this for future releases.
Q. Does the team based governance for reporting apply to custom reporting layouts?
Yes.
Q. Can I bring any other sales intelligence tiles including those from the marketplace into Custom Reporting Layouts?
A. Not at this time, but we are considering this for future releases.
Q. Are the reporting tiles also available on the marketplace, or can they be surfaced in other locations in Outreach?
A. Not at this time, but we are considering this for future releases.
Q. Can I set controls for viewing, creating and sharing specific to reporting layouts vs. the controls I set for my other sales intelligence tiles?
A. Not at this time but we are considering this more granular level of control in future releases.
Q. There’s some overlap between these tiles, and other reports like Team Activity and Daily Activity. Which one should I be using?
A. If your needs are met by the fields in the User Overview tile, you can benefit from the flexibility of the rest of the custom reporting layout experience and may be the best place to consume this information. That said, the Team Activity report has additional fields not currently supported by the User overview table. If your needs require those fields, then that may remain the best place to view that data
Outreach plans to continue investing in Custom Reporting Layouts, bringing more fields, filters and drill-ins to the existing metrics, and more tiles as well. As we reach full feature parity with reports like Daily Activity & Team Activity, we will aim to consolidate this experience for ease of navigation, but will only do so with an announcement and lead time to prepare.
