The purpose of this article is to provide information to Outreach Admins on enforcing Team Based Governance for their Reporting.

Before you begin

For our large enterprise customers, the ability to control access to important data is critical to running their business successfully. Ability to control report visibility is a common ask.
In this release we are enforcing additional access control permissions where users can only see reports associated with their team memberships. This will be an additional setup controlled via Profiles.
A common use case is to restrict access to reports such that teams in one business unit are restricted from seeing reporting data associated with another business unit in their same organization or another part of their company.
Once this has been enforced through Profiles, reports will only load data from, and enable filtering on, based on the team membership of the viewing user.
Procedure
- Log in to Outreach as an Admin.
- Navigate to Administration > Users & permissions > Profiles.
- Select the profile you wish to enforce the permission on > scroll to Reports.
- Enable the ‘Can only view reports associated with team membership’ checkbox. If the permission needs to be reverted, uncheck the box.
Users who have the permission enforced through their Profile will continue to be able to use Team based filters inside reporting, however, they’ll now only be able to view the teams that they are members of.

Will this work with Teams I’ve already set up?
Yes, no new team set up is required.
Will this impact User Roles based assignment?
No. Reporting currently does not support governance on the basis of User Roles or User Roles Hierarchy. There is no changes to User Roles based behaviors as part of this release
Does this feature remove access to the Reports?
No. Users will still be able to navigate to the Reports. The Profile permissions simply ensure that the Teams filter only shows users data for the Teams they are members of. When navigating to a report, all Teams the given user is a part of will be automatically applied to the Team filter. They can remove certain Teams from view if desired, but cannot view data from other Teams they are not associated with.
Are there any exceptions I should be aware of?
Yes. This feature is only applicable to users' visibility to reports. There could be other places, like Activity Feed, where the users might still be able to access the data. Please use other available mechanisms of access control to create a fully managed experience for your organization.
