How To Filter & Pin Notes for Outreach Notes tile

Objective

The purpose of this article is to provide guidance to Outreach users on how to filter and pin notes within the Account Notes tile. 
The Account Notes enhancements allow users to control which notes are displayed and keep important notes easily accessible by filtering Account and Prospect Notes and pinning critical notes to the top of the tile.

Applies To

• Outreach Web Application
• Account Notes tile
• Prospect Notes tile (pinning behavior applies across related tiles)

This feature is available to all users with access to Account or Prospect Notes.

Before you begin

• No admin setup or configuration is required.
• The feature is enabled by default for all users.
• Pinning is not user-specific: pinned notes are visible to all users who have access to the account.
• Notes behavior in the Activity Feed remains unchanged:
  • Account and Prospect Notes continue to appear in the Activity Feed.
  • Notes can still be created, viewed, and edited there.
  • Filtering and pinning are not available in the Activity Feed.

Procedure

Filter Account and Prospect Notes

1. Navigate to an Account record.
2. Open the Account Notes tile.
3. Locate the filter toggle in the tile header.
4. Select your preferred view:
   1. Both (Account & Prospect Notes) – Displays all notes related to the account.
   2. Account Notes only or Prospect Notes only – Displays only the selected note type.
5. Your filter selection is automatically saved and will persist across future sessions and layouts.

Pin or Unpin Notes

1. In the Account Notes or Prospect Notes tile, hover over a note.
2. Click the pin icon to pin the note.
3. The pinned note moves to the top of the tile and remains there even when new notes are added.
4. To remove a pin, click the pin icon again.
5. Pinned notes are visually highlighted for easy identification.

Additional Information

• There is no limit to the number of notes that can be pinned.
• Pinned notes are synced across all related Prospect Notes tiles for the same account.
• These enhancements help reduce scrolling, improve note readability, and make it faster to find critical account information.
• Optional metrics to monitor post-release:
• Percentage of users interacting with the filter toggle
• Percentage of notes pinned per account
