How to Enable Outreach Content Governance

Objective

Turn the Content Governance feature on in your Outreach org, which will allowing admins to manage who can engage Sequences, Templates, and Snippets in your instance by building and configuring permissions within content Collections and associated Teams.

Before You Begin

Content Governance provides admin access to the Teams-Collections Access Control governance model, a mechanism designed specifically for Team-based selling motions, and used in conjunction with Collections to create access control islands. Please see our Outreach Governance Overview and FAQ to learn more.

Admin Considerations

It’s always prudent to be careful and deliberate as you enable the Content Governance feature for your organization.

  • Remember, backward compatibility works only if you start right with access controls

  • Ensure Profiles, and permissions within, are set up correctly; use principle of least privilege

  • Practice on a sandbox or testing environment

  • Communicate clearly with users on the upcoming changes

  • Ensure appropriate Profiles have been assigned to appropriate users

  • Double check Team memberships and Collection content

  • Enable → Validate → Validate → Validate

User and Admin Impact

Content Governance is enabled per Profile, so individual Users' access depends on whether the feature has been enabled for their profile. If enabled, Users can only see sequences, templates and snippets that they own directly. If the feature has not been enabled, they will continue to see content they own and content that has been marked as Shared.

Note that none of the governance boundaries described below apply to Admins, who will continue to have unrestricted access to Sequences, Templates, Snippets, Collections, and Teams. This includes the ability to fully manage content they don’t own.

Procedures

Enable Content Governance Options for Select Profiles

Note: The Content Governance feature is enabled per profile, for each content type (Sequences, Templates, and Snippets).

  1. Log in to Outreach as an Admin.

  2. Click Administration.

  3. Under Users & permissions, click Profiles.

  4. Find and choose a profile.

  5. Scroll to the respective sections for Sequences, Templates, and/or Snippets (depending on what content types you want to enable Content Governance for).

  6. In the desired section(s), uncheck the checkbox for Show all [sequences/snippets/templates], even those not associated through teams-collections.

Enable Teams-Collections Management for Select Profiles

To optionally allow specific profiles to have the ability to manage Teams and/or Collections:

  1. Log in to Outreach as an Admin.

  2. Click Administration.

  3. Under Users & permissions, click Profiles.

  4. Find and choose a profile.

  5. In the Administration section, check or uncheck the boxes for Manage teams and/or Manage collections.

Checking the boxes will allow end users with this profile to be able to associate their Sequences, Templates, and Snippets to Collections, and then those Collections to Teams.
