How to Pre-approve and Install Kaia Zoom Apps

Before You Begin

• IMPORTANT NOTE FOR ZOOM ADMINS: Due to changes Zoom is making to their service, if your org installed the Outreach Kaia for Zoom Admins app before February 23, 2026, it must be reinstalled before Weds, April 1, 2026. If not reinstalled before Weds, April 1, 2026, Kaia will no longer be able to join Zoom meetings. Click here to uninstall and reinstall the app.
• Organizations need Zoom setup to allow participants to join meetings without being signed in to Zoom for Kaia to be able to join.

Procedure

The Outreach Kaia for Zoom Admins app is specifically for Zoom account admins to install. It allows Kaia to automatically connect with users in your Zoom account, so that users do not need to connect their Zoom accounts individually. The Zoom admin who installs this app doesn't need to have an Outreach Kaia license and doesn't need to sign-in to Outreach to perform the installation.

1. Login to your Zoom Account and navigate to the Zoom App Marketplace.
2. Search for Outreach Kaia for Zoom admins in published apps.
3. Click Outreach Kaia for Zoom admins.
4. Click Install.

Outreach Kaia Zoom App

The Outreach Kaia Zoom app enables Kaia to be run inside the Zoom meeting app window. Based on your organization's Zoom settings a zoom admin may also need to pre-approve the app.

1. Navigate to the Zoom App Marketplace and log in as an admin or owner.
2. Navigate to the Outreach Kaia Zoom app.
3. In the App permissions section, enable the toggle to Approve use of this app.
