Objective

Learn to configure Outreach to surface Closed Won and Closed Lost opportunities in activity workflows, and to reference closed opportunities in the Personalization Agent.

Applies To

  • Outreach Admins (configuration)
  • Outreach Users (activity logging and personalization)

Before You Begin

  • The setting applies org-wide. Once enabled, closed opportunities appear in the opportunity picker for all users across all relevant surfaces.
  • Admins can configure the setting to show Closed Won only, Closed Lost only, or both.
  • Once an admin enables the setting, closed opportunities appear automatically in all relevant pickers. No rep-side configuration is required.
  • If no closed opportunity is pinned in the Personalization Agent, template variables default to the most recently updated opportunity associated with the prospect. Pinning a specific opportunity gives reps control over which deal context is used.

Overview

By default, Outreach displays only open opportunities in activity workflows. Admins can configure the platform to also surface Closed Won and Closed Lost opportunities in every opportunity picker across Outreach.

This setting applies org-wide and takes effect immediately once enabled. It supports two common workflows:

  • Re-engagement and prospecting: link outreach activities back to a Closed Lost opportunity when targeting a previously lost account.
  • Renewal workflows: reference the original Closed Won deal when logging activities for renewal outreach.

Note: This is an admin-controlled setting. No action is required from reps — once enabled, closed opportunities appear automatically across all relevant pickers.

Procedure

Enable the Setting

  1. Log in to Outreach.
  2. Go to Administration > Records > Opportunities.
  3. Select one of the following options from the dropdown:
    • Most recently updated open and closed won
    • Most recently updated open and closed lost
    • Most recently updated open and closed (won and lost)

The setting applies org-wide and takes effect immediately.

Closed Opportunities in Activity Workflows

Once enabled, closed opportunities appear alongside open deals in the opportunity picker across the following surfaces:

Pinning a Closed Opportunity in the Personalization Agent

When a prospect has multiple opportunities — open and closed — reps can pin a specific closed opportunity as the reference for template variable unfurling. This ensures that variables such as {{opportunity.name}}, {{opportunity.stage}}, and {{opportunity.type}} pull context from the intended closed deal rather than defaulting to an open one.
