Procedures
Importing Multiple Prospects from a Salesforce List View
Before you begin, please ensure you:
- Understand all mapped fields will be imported to Outreach.
- Enable all applicable fields in the Selected Fields section.
- Include the Name and Email Address fields in the view.
- Select the correct report type -- All Leads or All Contacts and Accounts -- as applicable.
To import your prospects:
- Access Salesforce.
- Create a view as applicable.
- Click the checkbox to the left of a Lead or Contact's name to select for import.
- Click Import to Outreach on the top right-hand side of the page.
When complete, Outreach Everywhere displays the list of newly imported Prospects. You can now add the imported Prospects to a sequence, create a bulk compose email, create a task, or bulk edit.
Importing Individual Leads/Contacts from a Salesforce List View
In the List View, Leads and Contacts are decorated with Outreach symbols, including a silhouette next to the Lead or Contact name.
Outreach Everywhere automatically displays the first Prospect in the list. If the Prospect does not exist in Outreach, Outreach Everywhere will parse the data available from the filtered view and request confirmation for importing a Lead or Contact as a new Prospect in Outreach.
Click the silhouette for a Prospect to view them in List View.
Importing Individuals from Lead/Contact Profile
- In Salesforce, access the main Lead or Contact overview page.
- Open the Outreach Everywhere extension. If the Prospect has not yet been imported into Outreach, you will be prompted to import them as applicable.
- If you wish to proceed and import the record, click Yes.
New Prospects are created in Outreach as applicable.
Note: If the Prospect already exists in Outreach, Outreach Everywhere displays the existing Prospect profile.
Importing Accounts
From a List View in Salesforce, click on the Outreach silhouette next to the account name to select it for import.
Alternatively, open the Outreach Everywhere side panel. The extension will prompt you to import the account if it does not already exist in the platform. Click Yes! to proceed with import.
A Note on Duplicate Prospect Data
Because everyone works with duplicate leads and contacts differently, Outreach will not automatically enable the option to remap the Outreach prospect to the appropriate CRM record. If the option to allow users to select the preferred CRM ID has been enabled, Outreach Everywhere will automatically provide the option to remap the prospect the correct Object ID.
For more information regarding mapping prospects to a duplicate Lead or Contact, refer to How To Remap Prospects to Duplicate Records.
Common Errors
Import to Outreach Option Unavailable
If the Import to Outreach button is unavailable, contact the Salesforce Admin, and request the Enhanced Profile User Interface option be enabled.
No Checkboxes in Salesforce
Checkboxes will only display when only one record type is selected. If multiple record types are selected, checkboxes will not be populate.
The checkboxes next to a Lead, Contact, or Account may be missing if Users don't have Enhanced Profile User Interface enabled. If you are missing this setting, please contact your Salesforce Admin to enable it for you.
If Enhanced Profile User Interface is already enabled, please make sure you are using a List View that has Person Accounts filtered out under Lead or Account Record type, as these should be set to Business.
Leads or Contacts not Importing
- If Leads and Contacts are failing to import into Outreach Everywhere, confirm the list contains either Leads or Contacts as applicable, and not a combination of the two record types.
- Review Governance settings.
- Confirm the record doesn't already exist in Outreach, meaning the record will not import a second time.
- The importer does not need to be the owner of the record in Salesforce - but records must be owned by a mapped user in Outreach
