How To Configure Outreach User Email Limits and Safeguards

Objective

Configure email safeguard options at an individual user level. Email limits determine how many emails an individual can send from Outreach within a given time period, as well as the total email limits per mailbox.

  • Outreach Admins

Before You Begin

  • Some Outreach views and options require admin-level governance permissions. If the options outlined in this article are unavailable, contact your org's Outreach Administrator.
  • User limits cannot exceed the Admin Org limit in the Org's advanced settings of the default mailbox. E.g., if an individual user's mailbox has a limit of 75 emails and the Org limit default has a limit of 50, the system will throttle any emails from this user to 50.
  • Outreach has an absolute sending limit of 5,000 emails per week per mailbox. This limit includes and applies to emails sent via the Outreach Platform, the Outreach Everywhere Chrome extension, and the Outreach Sales Engagement Add-In for Outlook. A single user with one or multiple mailboxes has the same total overall sending limit of 5,000 per week.

Procedure

  1. Access the Outreach Platform. 
  2. Click the User's initials (avatar) in the bottom left corner of the navigation sidebar.
  3. Click Personal Settings.
  4. Click on the applicable mailbox.
  5. Scroll to the bottom of the settings and click Show advanced settings.
  6. Scroll down to the Send settings section.
  7. Configure the available limit options as applicable. All options refer to Bulk emails only.
    • Maximum bulk emails this mailbox can send per day from within Outreach - The number of emails each User can send using Outreach in a single day.
    • Maximum bulk emails this mailbox can send per week from within Outreach - The number of emails each User can send using Outreach in a single week.
    • Mailbox in/out cut-off limit per day (total regardless of Outreach) - Total number of email deliveries that can be sent by Outreach Users each day. 
    • Number of times to auto-retry a delivery if it fails - Total number of retries Outreach initiates when a failed delivery is detected. 
    • Maximum deliveries allowed within a time period - Total number of email deliveries allowed within a user-defined time frame.
    • Require mailbox to be recently synced before sending - Requires a User's mailbox to be synced before sending emails. 
  8. Click Save to commit the changes
  9. Scroll down to the Send settings section
    The settings "Sync frequency while actively using Outreach" and "Sync frequency while not actively using Outreach." These options allow you to control how often Outreach checks for new emails. The minimum interval you can set is 2 minutes, and the maximum is 24 hours
  10. The email limits and sending settings are saved as configured.
