About custom object permissions
Custom object permissions allow admins to control both access and actions that users can perform on specific custom objects in Outreach. These permissions can be set for a specific custom object for specific user profiles.
By defining specific permissions for different user profiles, admins can ensure that authorized users can perform appropriate actions, ensuring that sensitive information is managed appropriately.
Permission types
The following table explains the individual permission types that can be assigned to a specific user profile:
Permission Type | Description |
View records | Allows users to access existing records within the custom object. |
Edit records | Allows users to modify existing records within the custom object. |
Delete records | Allows users to delete existing records within the custom object. |
Create new records | Allows users to create new records within the custom object. |
Permission levels
The following table describes the levels available for each permission type:
Permission Type | Description |
None | Users cannot perform the specified action on any records. |
Assigned to them | Users can perform the specified action only on records that are explicitly assigned to them. |
Assigned to them and their reports | Users can perform the specified action on records that are either assigned directly to them or to any of their reports. |
Assigned to them, their peers, and their reports | Users can perform the specified action on records assigned to themselves, their peers, and their reports. |
Owned by anyone | Users can perform the specified action on records owned by anyone. |
Assigned records are determined by the ownership field, which is represented by the user lookup field where "This field represents record ownership" is selected in the field settings.
User relationships such as 'reports,' and 'peers' are defined by the roles set up in User Management → Groups → User Roles. Ensure roles are correctly configured to align permissions with your team structure.
By configuring these permissions and levels, admins can customize the access and control each user profile has over custom objects, ensuring that actions align with organizational policies and user responsibilities.
Notes
- Permissions set for custom objects also apply to actions performed through the Public API on behalf of the user.
- Profiles cannot be modified in bulk. Admins need to configure each individual profile manually.
- Custom object permissions are unique to each object and cannot be inherited from parent objects.
- Permissions are set at the profile level and cannot be customized for individual users within a profile. For individual customization, a new profile would need to be created.
Procedure
Admins can configure permissions for an existing custom object for a specific profile.
- Log in to Outreach as an Admin.
- Click Administration > User Management.
- Navigate to Access Control.
- Select the desired profile
- Scroll to the custom object you wish to edit.
Here you can select the desired permissions for the specific profile.
For the ownership-based governance, please ensure your object has at least one user lookup field defined where "This field represents record ownership" is selected in the field settings.
