Salesforce Advanced Task Mapping Settings for Generic Tasks

Objective

The purpose of this article is to provide direction to Outreach Admins in mapping a generic task in the CRM plugin. 

The Task <> Outreach Task mapping will create a generic task on the lead or contact profile in your CRM system. Based on the plugin settings, when the generic task is marked as complete in Outreach, the corresponding task will also be marked as complete in your CRM.

Procedure

  1. Access the Outreach Platform.
  2. Access the CRM sync.
  3. Click the Task <> Task object in the Types list.
  4. Click the Create checkbox option under Set object syncing to sync into CRM. 
  5. Configure the following conditions:
    • If Action is not call, email, SMS.
    • And Completed is True.

  6. Click Save.
  7. When you've enabled the appropriate settings in the integration, you'll be able to map new fields on the task object in your CRM. The new mappings that are available include:

    Note: This also defines how granular LinkedIn tasks, such as linkedin_send_message, are synchronized.  

    Identifies the type of generic task.

    Identifies if the Task was completed.

    Identifies the Outreach User ID of the user that completed the task.

    Completed At

    2016-10-22T08:09:27+00:00

    Identifies the date and time the task was completed.

    Completer Name

    Jane Smith

    Identifies the name of the Outreach users that completed the task.

    Due At

    2016-10-26T00:20:06+00:00

    Identifies if the date and time the task is due.

    Task Type

    Sequence_step_email

    Note: There are many values this field synchronizes, including, but not limited to: 

    • sequence_step_task
    • sequence_step_call, 
    • sequence_step_linkedin_send_message 

    Identifies if a task was created by a sequence or by manual user input, as well as the type of task (i.e. email, task, etc.) 

    Task Priority

    Low

    Identifies the priority of a task as defined by the user: low, medium, or high.

    User

    Jane Smith

    Identifies the task owner's name.

    Prospect

    Jane Smith

    Identifies the name of the Prospect associated with the task.

    Sequence Name

    Test Call Sequence

    Identifies the name of the Sequence that generated the task.

    Sequence Step Number

    1

    Identifies the sequence step number that created the task.

    Template

    Outbound Prospect Template

    Identifies the name of the template used to send an email if applicable.


    Note: Only applicable if a template was used.

    Owner

    Jane Smith

    Identifies the task and identifies the task owner's name.

    Attributable Sequence ID

    Enterprise FUP Sequence - VP

    Outreach will attribute a task to the most recent finished sequence if the task is not associated with an active Sequence.

    State

    • Incomplete
    • Complete
    • Skipped

    Identifies the state of the task.

    Identifies the task category. 

    Task Type Name

    Identifies the task type.

    Identifies the opportunity. 

    Custom Template

    [Outreach] [Email] [Out] {{Subject}} can be synced to the Subject field of the Task in the CRM.

    Users can access advanced settings and add custom values such as variables to sync to the CRM.

Note: There is no need to alter any advanced field mapping options for any of these fields. Outreach has added the necessary advanced field options for you - making changes to Advanced Field Mappings can prevent data from syncing correctly or delete data being loaded into the CRM. 

Finally, it is important to turn off the toggle on the Lead and Contact Sync Settings for tasks within the "messages and events" settings. This will prevent duplicate tasks from logging into your CRM.

Task Categories

Task Category was introduced with LinkedIn specific tasks to categorize or roll up tasks that fall under the same group action of tasks. All LinkedIn task are completed on LinkedIn.
