Intelligent Email Data Extraction automates the process of identifying new phone numbers from the email signature or numbers that differ from existing ones in Outreach. With this feature, Outreach is able to identify and add new phone numbers from a prospect email signature, right from your inbox.

Before You Begin
To use the Phone Number Extraction feature, make sure you’ve done one of the following:
- Gmail users: Download the Outreach Everywhere Chrome Extension and enable it in Gmail.
- Outlook users: Install the Outlook Add-in.
Once either is installed, the feature will engage (it does not have a dedicated toggle to enable/disable).
Intelligent Email Data Extraction
How it works
Intelligent Email Data Extraction is a built-in feature of our Outreach Everywhere Chrome Extension and the Outreach Outlook Add-in that works in your inbox.
When you click into an email thread, Outreach will scan the email signature of the opened message. If the email address is associated with a prospect, we’ll compare the signature phone number with the existing prospect information in Outreach.
If the phone number in the signature of the email is different from what exists in Outreach, a pop-up will ask if you want to update the prospect profile.
When confirmed, the phone number will be added as a net new number on the user's profile, rather than overwriting an existing number.
Categorizing the phone number type
You can select the phone number type (work, mobile, home, VoIP, other) by clicking on the dropdown menu next to the phone number.
What if the Prospect's profile already has a phone number?
If a phone number already exists on the Prospect profile in Outreach, the new number is added below the existing information (it does not overwrite an existing number). To adjust the order the phone numbers in a Prospect's profile appear in, you’ll need to make manual edits in the Prospect Profile.
