Scheduling a Historical Data Load After a Field Mapping Change

Objective

This article explains when and why Outreach prompts you to schedule a Historical Data Load (HDL) after a CRM field mapping change, and how to use the redesigned HDL Scheduler. 

Applies To

Before You Begin 

  • An HDL re-syncs records within a date range so they reflect your current field mapping configuration. 
  • Only one HDL job can run per object at a time. If your org's API call limit is reached mid-run, the job pauses automatically until an admin resumes it. 
  • Scheduling during business hours can slow active CRM syncing for your team; off-peak scheduling (evenings or weekends) is recommended. 

Overview 

When you save a qualifying field mapping change, Outreach checks whether an HDL is needed to keep your historical records accurate: 

  • No HDL currently scheduled for the object: You'll see a prompt to schedule one, with the affected object and fields called out. 
  • An HDL is already Pending: No action needed. A notice confirms the upcoming job will pick up your change. 
  • An HDL is Running or Paused: You'll be advised to cancel it and schedule a new one, since the in-progress job can't retroactively apply your change to records it already processed. 

Choosing to schedule takes you to the HDL Scheduler, pre-filled with the affected object and a suggested date range (defaulting to 12 months back). You can adjust the object, date range, and scheduled time before confirming. If your org has outbound sync active for the object, you'll also see the option to push corrected records back to your CRM as part of the same job. 


Before the job runs, you'll see a review screen summarizing the object, date range, scheduled time, and estimated API usage. Once confirmed, you'll get a confirmation toast with a link to monitor the job. 

If any records fail during the sync, they can be resynced directly without creating a new job. 

Additional Information 

To schedule or review an HDL at any time, go to Administration > Integrations > CRM > More Options > Sync historical records. While an HDL is Pending, Running, or Paused, dashboard viewers may see a banner noting that displayed data could be temporarily incomplete.
