Overview
Key feature functions:
- Gain the post-meeting, conversational intelligence capabilities of Kaia by importing your Google Meet recordings. Understand what the sales team is discussing with prospects, how they position the product, articulate the value proposition, and overcome buyer objections to drive deals forward.
How Kaia for Google Meet works
- A rep clicks “Record” for their call in Google Meet.

After the meeting ends, Kaia imports the recording if it meets the following criteria:
- A calendar event exists that is connected to Outreach and contains a Google Meet link
- Invite has an external invitee (email domain different to meeting host)
- Once imported, Kaia sends out a meeting summary email and the recording is available on the Kaia Call Recording page and includes Kaia’s rich post-meeting experience and conversational intelligence features.
Notes
- The Outreach Administrator must first connect Google Meet as a Web conferencing service in their Outreach instance.
- Users must then connect Outreach to their Google account.

Users need to record meetings within Google Meet with the option to transcribe the meeting enabled for them to be available for Kaia to analyze. The Google Meet transcript is used to identify the people talking in the meeting in Kaia accurately.
- It is highly recommended that users install the Outreach Everywhere extension as it will automatically select transcription to be enabled when users start recording the meeting in Google Meet.
Setting Up Kaia for Google Meet
Administrator Configuration Steps within Outreach
- Access the Outreach Platform.
- Navigate to Administrator Settings -> Kaia
- Click Connect on the Google Meet tile.
- Add your company website URL to improve transcription accuracy for the names of your company’s products and services. Further improve accuracy with Kaia Vocabulary if needed, after set-up.
- Assign user licenses and notify these users that they can complete the Kaia-Google setup steps below.
User Configuration Steps within Outreach
- Access the Outreach Platform.
- Navigate to Personal Settings > Kaia.
- Click on “Sign in with Google”.
- Sign into your Google account and then click “Allow” to provide Kaia access

- Install the Outreach Everywhere extension for Chrome to help with enabling Kaia meeting in Google Meet.
- When hosting a meeting on Google Meet that you want to be available in Kaia click record in Google Meet. When starting recording ensure the checkbox “Also start a transcript (English only”) checkbox is selected. With the Outreach Everywhere extension running the checkbox will be preselected otherwise it will need to be manually selected.
- Typically, the meeting will appear in Outreach in less than two hours. In some situations, it may take up to 4 hours after a meeting ends for Google to make the recording available to Outreach.
