Purpose:
You likely have time sensitive tasks that need to be completed no matter what task you’re working on at the time. For example, you’re talking with a prospect and they tell you to call them back at 2pm.
Urgent Task Alerts let you create prioritized tasks. When a task is created, you can set the priority as “urgent” and, when the task is due, you’ll be notified and prompted to complete the task wherever you are in the application.
Creating Urgent Tasks:
Urgent tasks can be created as one-off tasks and as part of a sequence. In addition, existing tasks can be snoozed and reprioritized as “urgent.”
One-Off Tasks:
- Create a task in Outreach.
- On the priority drop down menu select “Urgent.”
- Finish filling out the task details and click on the “create” button.
- When the task is due you’ll receive a notification in Outreach.
- You have three options when the notification appears.
- Dismiss - Dismissing the task closes the notification without rescheduling the task and changes the the tasks priority to High. To complete the task, users can use the global task queue and sort by high tasks for completion.
- Snooze- A new window will appear that lets you choose how long you want to snooze the task. You can select one of the default options or select a custom date/time.
- Start Task- Starting the task brings you into the task flow, where you can complete the task. If there are other urgent tasks that were placed in the global queue, you’ll be automatically prompted to complete these outstanding urgent tasks as well. If you have more than one urgent task, use the arrows to get a quick glimpse into what needs to be done. You can click on the play button on the top right corner of the notification to complete all urgent tasks.
Note: It can take up to one minute for an urgent task notification to appear in Outreach.
Urgent Sequence Steps
Best Practice: Urgent sequence steps are only recommended for low-volume, high priority prospects.
- Create a new sequence in Outreach.
- Urgent tasks can be applied to any manual step. This includes manual emails, call tasks, and generic tasks. When you select one of the manual step options, you’ll see a drop down menu where you can select the step priority.
- When the task is due you’ll receive a notification in Outreach.
- You have three options when the notification appears.
- Dismiss - Dismissing the task closes the notification without rescheduling the task and changes the the tasks priority to High. To complete the task, users can use the global task queue and sort by high tasks for completion.

Re-Prioritize Snoozed Tasks
As you’re moving through the task flow, you may come across a task that you want to complete later. You now have the option to snooze this task and receive a notification when the task is due.
- When you come across a task in the task flow that you aren’t ready to complete, click on the clock button on the bottom of the task window.
- A pop-up box will appear where you can reschedule the task. There are a few default options available to you, but you can also select a custom/date and time to complete the task.
- Click on the checkbox under the dropdown menu to receive an alert when the task is due. This alert will appear in Outreach when it’s time to complete the task.

Urgent Tasks in the Task Queue
You can find all missed, dismissed, and scheduled urgent tasks in the global task queue. Simply click on the task queue button on the top right corner of the Outreach platform. When the task queue opens, you’ll see an “Urgent Tasks” category. Click on the play button that appears when you hover over the category to start completing tasks. You can also click into the category to view all tasks and select specific tasks to complete.
