How to sync Kaia meeting recordings to a CRM

Objective

Configure your CRM settings in Outreach to sync over Kaia meeting recordings and summaries.

Applies To

  • Outreach Admins
  • Outreach Kaia
  • Salesforce
  • Microsoft Dynamics

Before You Begin

  • Syncing over a recording refers to the Kaia recording link (URL), via which all associated meeting assets (e.g., video for playback, transcripts, etc.) can be accessed.
  • Full Kaia meeting transcripts themselves are not able to be synced to the CRM due to limitations on standard CRM fields.

Procedures

Configure Meeting Recording Sync

  1. Access the Outreach platform.
  2. Click Administration > Integrations > CRM.
  3. Find and select the Event object
  4. Click Add mapping.
  5. Add the field Kaia recording URL and map it to an Event CRM field.

Adding Kaia meeting summaries

  1. Access the Outreach Platform.
  2. Click Administration > Integrations > CRM.
  3. Find and select the Event object
  4. Click Add mapping.
  5. Add the field Kaia Recording Summary and map it to the CRM event Description field.
  6. If you previously had Calendar Event sync configured, be sure to remap the original Description field mapping to a new custom Salesforce or Dynamics field.
    Note: Salesforce and Dynamics do not allow custom fields on the Activity object larger than 255 characters. The Description field is the only field that will consistently fit Kaia meeting summaries.
