The purpose of this article is to provide information to Outreach users in configuring Sequence Rulesets in Outreach.
Outreach provides users with ability to apply customized rulesets to sequences without making manual adjustments as Prospects progress through a sales cycle.
Note: If you are not able to create or adjust rulesets, you may not have permission. Please reach out to your Outreach admin, if you think this is by mistake.
Rulesets are nested under Sequences. For more information on how to access a ruleset via sequences, refer to the How To Access a Sequence Ruleset article.
Sequence Rulesets require a name and a ruleset owner. In most instances, the ruleset owner is the user configuring the rulest.
Input the basic information for a ruleset and define the ruleset owner.
The Safety Settings section of a Sequence Ruleset provides users with the opportunity to configure prospect engagement options.
|Prospect Can be added to this sequence…||Defines how often a Prospect can be added to the current sequence.
|Should active prospects be exclusive to this sequence?||Defines whether a Prospect should be exclusive to this sequence or not.|
|Prospects must not have been contacted within the last:||Defines the latency period between Prospect contacts and adding a Prospect to this sequence.|
|Add unsubscribe link to emails.||
Defines whether an unsubscribe link should be added to sequence emails.

|Allow users to customize step templates when adding to sequence.||Defines whether a user is able to edit email step templates while adding Prospects to the sequence.|

Update Prospect Stage When...
The Update Prospect Stage When...settings provide users with the ability to configure how a Prospect is updated based on the criteria outlined in the table below.
|Email Bounces:||Updates Prospect stage if an email sent from the sequence bounces.|
|Prospect opt outs:||Updates Prospect stage if opts out of communication through an email sent from the sequence.|
|Added to sequence:||Updates Prospect stage upon being added to sequence.|
|First email delivered or call:||Updates Prospect stage when the first email or call step in the sequence is completed.|
|Prospect replies:||Updates Prospect stage if they reply to an email sent from the sequence or answer a call made as part of the sequence.|
|Marked as finished, no reply:||Updates Prospect stage upon finishing the last sequence step.|
|Prospect completes sequence, with no reply after X time:
(When a prospect makes it through the last step of your sequence.)
|Updates Prospect stage after the specified time elapses with no reply after the last sequence step has finished.|
Create Call Tasks on Email Opens If No Reply Yet
The Create Call Tasks On Email Opens If No Reply Yet setting provides users the option to have Outreach automatically create a call task for users if a Prospect has opened emails sent from this sequence a certain number of times. This call task will be assigned to the sequencer for the applicable Prospect.
|Call Tasks on Opens:||Defines whether the sequence should automatically create call tasks based on email opens.|
|Minimum email opens needed:||Defines the number of sequence email opens before a call task is automatically generated.|
|Call Task Priority From Opens:||Defines the priority for the generated call task: Low, Normal, High, or Urgent.|
Create Call Tasks On Email Clicks If No Reply Yet
The Create Call Tasks On Email Clicks If No Reply Yet setting provides users the option to have Outreach automatically create a call task for users if a Prospect has clicked links in emails sent from this sequence a certain number of times. This call task will be assigned to the sequencer for the applicable Prospect.
|Call Tasks on Clicks:||Defines whether the sequence should automatically create call tasks based on email link clicks.|
|Minimum email clicks needed:||Defines the number of link clicks before a call task is automatically generated.|
|Call Task Priority From Clicks:||Defines the priority for the generated call task: Low, Normal, High, or Urgent.|
Out Of The Office Settings
Outreach has an algorithm that detects a reply thread via key words and phrases to detect when a Prospect is out of the office (OOTO) or on vacation. When this response is detected, Outreach automatically pauses the Prospect from the Sequence and marks the applicable stage as Paused (OOTO).
Paused Prospects can be auto-resumed in the Sequence Ruleset depending on the Ruleset configuration. Refer to the following table for more information regarding Out Of The Office Ruleset Settings.
|Resume OOTO Prospects:||Enabled, this feature allows Outreach to automatically resume paused Prospects as defined by the corresponding settings.|
|Use Amplify return date||Uses the Amplify feature to automatically pause and resume Prospects in sequences based on the dates mentioned in the Prospect's Out of Office emails.|
|Default time to wait before resuming:||
Determines how long Outreach will wait prior to resuming a paused Prospect. When a Prospect has resumed, and another auto-response is received, Outreach will pause the Prospect again.
|Maximum age threshold for resuming:||Looks at the mailings that have been paused prior to this setting being enabled. If the Prospect has been paused for less than the specified amount of time, the Prospect will be reactivated in the Sequence. If the Prospect has been paused for more than the specified time, the Prospect will need to be resumed manually.|
Actions Outside of Sequences
The Actions Outside Of Sequences settings provides users the option to mark Prospects finished in the sequence based on activity that occurs outside the sequence.
|When a meeting is booked with a prospect:||Defines whether a Prospect should be marked finished or continue in the sequence when a meeting is booked with any Outreach user, regardless of whether the meeting was booked via the sequence.|
|When a text message is received from a prospect:||Defines whether a Prospect should be marked finished or continue in the sequence when any Outreach user receives a text message from them.|
