Purpose
The purpose of this article is to assist Outreach admins in configuring multiple video conferencing integrations for the Outreach calendar and provide guidance to end users on setting their preferred video conferencing application as the default option for attaching video call links to their Outreach meetings. This guide also explains how to avoid using dynamic video call links and instead use static ones from a specific Outreach Meeting Type.

- The default video conferencing app setting will be visible in the Calendar settings only for users whose admin has enabled at least one video conferencing integration compatible with their linked calendar. (MS Teams is compatible the O365, Google Meet is compatible with GCal, Zoom compatibility is not limited)
Overview
Outreach admin can currently enable the following videoconferencing providers for Outreach Meetings: Google Meet, MS Teams and Zoom. These integrations will automatically add the unique meeting link to the meetings scheduled via Outreach. Admins can simultaneously enable multiple video conferencing integrations for one organization.
In Personal Calendar settings, users can set which video conferencing should be used by default.

User setup for default video conferencing
- Log into Outreach.
- Navigate to Personal Settings > Calendar.
- Select a video conferencing app.
- Click Save.
The options are based on the video conferencing integrations enabled by your Outreach administrator and supported by your calendar.

When should I select a specific video conferencing app?
- The dynamic conferencing link and relevant details associated with the chosen app will be automatically included in events booked by prospects via the public calendar.
- The chosen video conferencing app will be pre-selected in the video conferencing tool when you directly schedule a meeting through Outreach or when sending availability to others.
When should I select No Default Video Conferencing App?
- If users mainly use a different video conferencing provider that isn't supported by Outreach, they can enter their conference details in their Calendar settings. This information can then be used through variables ({{sender.conference_url}} and {{sender.conference_url}}), either manually typed or included in Outreach Meeting Type.
- When booking via the public calendar, utilize the specific Outreach Meeting Type with your Personal Meeting URL from your calendar settings. Admin-enabled video conferencing won't be added to public calendar meetings.
- While scheduling directly in Outreach, use Outreach Meeting Type that contains Personal Meeting URL variable {{sender.calendar_url}} - this will populate the meeting URL from your settings. Alternatively, you can select “Your personal meeting info” from the video conferencing picker, this will append the Personal Meeting URL to the location and Personal meeting details to the description - use this option if the meeting type doesn’t contain personal meeting variables. The admin-enabled video conferencing option remains available but won't be preselected automatically.
- Meetings scheduled via the public calendar won't auto-append video conferencing links. Use Outreach Meeting Types that do not contain any videoconferencing links.
- When scheduling directly in Outreach, there is no videoconferencing appended by default. The admin-enabled video conferencing option remains available but won't be preselected automatically.
Is Outreach Kaia compatible with all the same meetings platforms as Outreach Calendar?
No, Outreach Calendar compatibility for meetings does not imply compatibility with Outreach Kaia. Outreach Kaia is currently compatible only with the following:
- Zoom (for Kaia live experience)
- Microsoft Teams (for Kaia live experience)
- Google Meet (for Kaia post-call experience)
- WebEx (for Kaia post-call experience)
