How To Import Records into Outreach via .CSV File

Objective

The purpose of this article is to provide direction to Outreach Users in importing .csv files into Outreach.

Outreach provides Users the ability to import records through previously created .csv files, or previously exported CRM files.

• This article illustrates the process of importing a .csv file into the Outreach platform to populate records in bulk. For more information regarding importing records with the Outreach Everywhere extension, manually importing CRM records into Outreach, creating a .csv file, or exporting reports from a CRM, refer to the applicable content in the Additional Resources section of this article.
• Some Outreach views and options require admin-level governance permissions. If the options outlined in this article are unavailable, contact the Org’s Outreach Admin if applicable. For more information regarding governance profile settings, refer to the Outreach Governance Profile Settings Overview article.
• Some content in this article references information managed by third parties and is subject to change without notice. Outreach recommends visiting the applicable company’s website for the most current information.
• In order to associate Prospects with Accounts, these Accounts must first already exist in the Outreach platform and then you must complete a Prospect import and click the Assign Account checkbox during the Field Mapping step.
• If you would like to pull additional information down from Salesforce for a Prospect and have included their CRM Object ID, you can click the "Load additional data from CRM" checkbox to populate more data.
• Outreach is designed to allow one Prospect record per unique email address. Outreach uses email addresses as the primary method of identifying duplicate Prospects.

Procedure

1. Access the Outreach Platform.
2. Click the Actions button in the top right corner of the platform.
3. Click Bulk Create.
4. Select the applicable option from the import type: dropdown menu based on the information described in the table below:

   If importing...	Then...
   Prospect Records	Select Prospect.csv from the dropdown menu. Browse and select the applicable file. Click Next Proceed to Step 5. Note: Outreach detects and notifies the User of any issues discovered with the file.
   Account Records	Select Account .csv from the dropdown menu. Browse and select the applicable file. Click Next Proceed to Step 5. Note: Outreach detects and notifies the User of any issues discovered with the file.
   Opportunities	Select Opportunities.csv from the dropdown menu. Select how often the report should run from the Frequency dropdown menu. Click Next Proceed to Step 5
   Prospect Salesforce Report	Select the applicable report from the dropdown menu. Select how often the report should run from the Frequency dropdown menu. Click Next Proceed to Step 5. Note: For more information regarding Importing a Salesforce report, refer to the How to Import a Salesforce Report into Outreach article.
   Opportunity Salesforce Report	Select the applicable report from the dropdown menu. Select how often the report should run from the Frequency dropdown menu. Click Next Confirm and update Proceed to Step 5.

   Note: Existing recurring reports cannot be updated from this page. To update the frequency of which an import runs, users must repeat the above process.
5. Review and modify the mapping as applicable.
6. Click to enable the Assign Account option as applicable.
7. Click Next.
   
   Note: Outreach notifies Users when unmapped fields are detected. Click No to go back and review the file or click Yes to continue.
   
   
8. Define how Outreach manages fields by completing the applicable Field Override section based on the information in the table below:

   Field	Description
   Owner	Defines the Outreach User who owns the imported records. Users can click to reassign ownership if applicable.
   What to do with duplicates	Directs the Outreach Platform on how to handle duplicate records: Skip - Does not update information on records that already exist in Outreach. Overwrite Existing Fields- Replaces existing information on the record with information contained in the field. Update Missing Fields - Updates record fields that are not present.
   Load additional data from CRM	If you would like to pull additional information down from Salesforce for a Prospect and have included their CRM Object ID, you can click the "Load additional data from CRM" checkbox to populate more data.

   Note: Some fields only appear based on the information available in the file being imported. For more information regarding these fields, Users should contact the Org’s Outreach Admin or CRM Admin as applicable.
9. Click to enable the Load additional data from CRM option if applicable.
10. Click Next.

Users can navigate to the applicable List View space to view the imported content, such as the Prospect’s List View, Accounts List View, or Opportunities List  View.
