Syncing Sequence Engagement Status Data to a CRM

Objective 

Learn about syncing engagement status data from Outreach to a CRM platform such as Salesforce or Microsoft Dynamics as Prospects enter Sequences in Outreach, providing greater visibility to the revenue-driving activities within Outreach.

Sequence Field Mappings & Descriptions

These fields contain information about the current active sequence that is engaging Prospects, including Sequence State, Sequence Step Type, when the next sequence step is due, and who is assigned to the activity.

Note: Admins will need to add new Type fields to the Lead and Contact layout with the applicable Field Level Security. For more information on updating field level security, refer to the applicable CRM article. 

Outreach recommends Admins create a number of custom fields to store information on the Lead or Contact record, as well as adding the following Field Mappings in the Plugin: 

Outreach Field Mappings Description
Actively Being Sequenced This field identifies if a Prospect is Active in a sequence. 
Current Sequence Name

This field identifies the name of the sequence a Prospect has most recently been Active in; the sequence name.

Note: If active in multiple sequences, this will populate the sequence they have been active in the longest.  

Current Sequence Status

This field identifies the state of a Prospect in a given sequence such as Pending, Failed, Active, etc. 

Note: This field can be populated with the following values: 

  • Pending
  • Paused
  • Failed
  • Active

Note: Finished and Not Finished are not options available here. 

Current Sequence Step Number This field identifies what step a Prospect is in for a given sequence. 
Current Sequence Step Type

This field identifies what a step is for a given sequence. The available Step Types are:

  • Automated Email
  • Manual Email
  • Phone Call
  • Task (these are generic tasks used for steps like "perform research on company" or "find out this prospect's birthday" )
  • LinkedIn: View Profile
  • LinkedIn: Interact with post
  • LinkedIn: Send message
  • LinkedIn: Send connection request
  • LinkedIn: Other
  • Manual SMS (if your organization does not have access to texting through Outreach, you should never create tasks of this type, as doing so will cause sequencing issues.)
Current Sequence Task Due Date This field identifies the date the upcoming task is due.
Current Sequence User Name This field lists the name of the sequencer.
Current Sequence User Integration ID This field lists the CRM Object ID of the sequencer. 
ID of Currently Active Sequence This field displays the numeric Sequence ID for the Prospect's most recently active sequence, which can be found in the webpage URL for the sequence page. 
Note: In the event the prospect is in two sequences, we will push the first sequence but never overwrite the field with the new sequence until the first sequence is finished.
Number of Active Sequences This field lists how many sequences the Prospect is currently active in.
Number of Active Tasks This field lists how many incomplete tasks are associated with the Prospect.
Finished Sequence Imports a list of sequences the Prospect has finished in comma-separated format.
Note: Requires mapping the Finished Sequence field in Salesforce.

Note: CRM Admins will also need to create the corresponding fields for Outreach to map to in their CRM. These fields can have different names than what is in Outreach, based on what the Admin would like to include.

If a Prospect is in multiple Sequences concurrently, Outreach will only push the most recent Sequence Activity.

Mapping Outreach Fields to the Engagement Panel 

Once the engagement panel is configured, the Outreach Admin can update the plugin mappings with these fields. As prospects move through the sequence, the values will change and push to the CRM.

Note: These fields will not be updated until the Prospect moves forward in a sequence. Once there is a change to the Prospect's profile in Outreach, the Engagement Panel information will sync to the CRM.
