Setting Up Outreach Kaia for Webex – Outreach Support

Learn how to set up the Outreach Kaia live meeting experience for use with the Webex meeting platform.

Note: Some Outreach views and options require admin-level governance permissions. If the options outlined here are unavailable, contact the Org's Outreach Administrator as applicable. For more information regarding governance profile settings, refer to our Governance Profile Settings Overview.

Notes:

The Administrator must first complete the admin setup steps, before users are able to perform the Webex setup on their user account.

Setting Up Kaia for Webex

Administrator Configuration steps within Kaia

Access the Outreach Platform.
Navigate to Administrator Settings -> Kaia (found within Communications tools)
Click connect on the Webex tile.
Add your company website URL to expand Kaia’s vocabulary and improve transcription accuracy for the names of your company’s products and services
Assign user licenses and notify these users that they can complete the Kaia-Webex setup steps below. Once a user is assigned, they will be able to connect Kaia to Webex.

Set your Kaia Webex configuration

Select recording consent settings.
Specify if you would like Outreach Kaia to announce to participants of meetings that the meeting is being recorded. You have 2 options:
- Play an announcement from Kaia
- Don't play announcement
Then select one of the announcement options that is played to the meeting participants and its timing. The announcement is made in the same language that the host has selected for the meeting.

User Configuration Steps

Access the Outreach Platform
Navigate to User Admin > Kaia.
Click Connect on the Webex tile and follow the instructions to connect to Webex.

Once connected, Kaia can be brought into any of your Webex meetings by clicking the Join with Kaia button, which is on all meeting invites in the Outreach calendar.
