When a prospect doesn’t show up to your meeting, the most important thing you can do is take action as quickly as possible to keep them engaged. But it can be hard to keep track of who doesn’t show, and it’s laborious to manage and log follow up activities. With our no show functionality you can:
- Mark meetings as a no-show within Outreach for streamlined tracking, reporting, and analytics.
- Set up triggers to immediately take action, such as putting the prospect in a rescheduling sequence, to re-engage prospects who miss meetings.
- And customize no-show triggered actions based on different meeting types.
Meeting No-Show Tracking
Meeting No-Show tracking let's you mark whether a prospect or group of prospects missed a booked meeting.
- On the left hand navigation panel in Outreach, click on the calendar icon.
- Find the meeting that the prospect did not attend (the meeting must be within an hour of the scheduled time or a past event).
- Click on the meeting and on the bottom of the pop-up, click on the checkbox that says "Prospect Did Not Attend".
- Once checked, you have the option to email all prospects, call or email a specific prospect, add prospects to a sequence, and/or create tasks for prospects on the invite.
- Call or Email a Specific Prospect - Next to each prospect you'll find an envelope and phone icon. Clicking on the envelope icon will open a compose window with the associated prospect email already in the "To" field. Clicking on the phone icon will launch Outreach Voice, automatically dialing and connecting you to the prospect.
- Email all Prospects - Click on the option to "Email all Prospects". A compose window will appear with associated prospect emails in the "To" field.
- Add the Prospect to a Sequence - You'll have the option to select the mailbox the sequence emails are delivered from. The prospects on the calendar invite will be auto-completed in the "to", however you can add additional prospects or remove prospects from being sequenced as needed. Clicking "Save" will bring you back to the main menu, where you'll see confirmation that the prospects are being added to the selected sequence.
- Create a New Task - The name of the prospects on the calendar invite will be auto-completed in the "Prospects" box, however you can add additional prospects or remove prospects from task creation as needed. You also have the option to set the task priority, task type, task assignee, task due date, and task due time. There is also a text field for additional notes. Clicking "Save" will bring you back to the main menu, where you'll see confirmation that the prospects have a task due at the preferred date and time.
- Call or Email a Specific Prospect - Next to each prospect you'll find an envelope and phone icon. Clicking on the envelope icon will open a compose window with the associated prospect email already in the "To" field. Clicking on the phone icon will launch Outreach Voice, automatically dialing and connecting you to the prospect.
- Click "Confirm" for Outreach to take action on your selections.
- If you're syncing to Salesforce, the existing calendar event will update.
Note: To remove your selections, click back into the sequence or task option and click "Remove" on the bottom of the pop-up window.
