How To Share an Outreach Kaia Recording via Viewing Link – Outreach Support

Objective

Learn how to generate and share an Outreach Kaia recording link. These links are created by Outreach users in the Outreach platform, to be shared with external prospects and colleagues (i.e., without the need for them to have access to the Outreach instance).

Before You Begin

If the share icon is not visible, ask one of your Outreach Admins to give permission for users to download Kaia Recordings.

Procedure

Access the Outreach Platform.
In the navigation sidebar, click Activity > Kaia.
On the resulting Kaia recordings tab, search, sort, and filter as needed to find the applicable meeting recording.
In the list, click the recording to access it.
To the upper right of the viewing window, click the share icon.
In the Share recording pop-up window, optionally:
- select the start and end time of the recording to share (either use the sliders or manually input time stamps)
- update the Link expiration timeframe (by default, recording links are accessible for 30 days; options include 1 day, 7 days, 30 days, 6 months, or 1 year)
When ready, click the Copy recording link button.
The link is now available in your device clipboard to share as applicable by pasting (Ctrl+V / Cmd+V) to the preferred method of communication (such as in an email, chat, or text message).

Link recipients should be able to seamlessly access the recording from the link until the availability duration you set has expired. Viewers are not required to be able to log into Outreach when the link is created and shared in this manner, and anyone with the link will be able to view the recording until the access duration expires.

Securing External Kaia Recording Access

If you want to require additional external security or viewing restrictions, we recommend downloading Kaia your recording and then adding it to your org's cloud storage service (e.g., Google Drive), from which you can add specific individualized or password-based access.
