Objective 

Learn about the Gmail features for the Outreach Everywhere Google Chrome extension, which brings the power of Outreach into a User's Gmail environment. With Outreach Everywhere installed and enabled, Users can: 

  • Automatically create Prospects
  • Associate email activities with opportunities
  • Add recipients to sequences
  • Insert Templates and Snippets
  • Set reminders/bump emails
  • Schedule Meetings

Before You Begin

Ensure the Outreach Everywhere extension is installed and enabled. Optionally, configure the extension settings.

Ensure your primary mailbox is added and connected in order for the Gmail extension decorations to appear/function within that Gmail account environment.

Note: Currently, Outreach Support AI Assistant and contact options are not available in the Outreach Everywhere extension. Please log in to the Outreach web application (which also provides access to live chat and voice support) or the Outreach Support Portal (from which you can open a help request through our web form or our AI Assistant).

What is Outreach Everywhere and how does it enhance the Gmail experience?

A: Outreach Everywhere is Outreach's Chrome extension that brings the power of Outreach into your Gmail environment. Outreach icons are inserted directly into the compose window - so you can use Outreach templates, and snippets when composing emails in Gmail. You can also add prospects to sequences, send meeting suggestions, or set reminders for emails. You can create prospects directly from your Gmail. 

Apart from the Outreach overlay the top Gmail extension also has a sidebar that offers a  narrow view of the Outreach web app. This view adjusts the content as you move through your Gmail instance. You can also perform actions from there.

What is Outreach Everywhere compatible with?

A: Outreach Everywhere is compatible with Google Chrome browser instances. Currently, no other browsers are supported. 

Is Outreach Everywhere available to all Outreach Users?

A: Yes, any Outreach user can download the Chrome extension unless the extension download is disabled by the administrator of your browser.

How in Gmail do I identify if the person I am emailing is a Prospect?

A: Outreach's Prospect Indicator identifies if a person is a Prospect in Outreach or not.

Emails with a gray dot indicate the person is not yet a Prospect in Outreach.

Can Outreach automatically create Prospects for me?

A: Yes, if you are emailing a contact that is not an Outreach prospect yet and the Automatic prospect creation is enabled by Outreach Admin, the prospect will be automatically created in Outreach. You will be notified about prospect auto-creation by a banner in Gmail compose window and you will be able to disable prospect auto-creation for emails where it’s not required. If you are emailing multiple new contacts the prospect will be created from the first contact in the “To” field.

How to enable links and open tracking for emails I send?

A: Tracking controllers appear next to the send button. The eye icon stands for Open tracking. The arrow icon stands for click tracking. Open and link tracking is only available in case the link and open tracking is enabled by your admin.

Do you show any indication in Gmail that my email was opened or links were clicked?

A: Yes. When your email is opened or clicked, a purple icon will appear next to the subject line in the Sent or Inbox folder. You can get more details by hovering over the icon.

Can I use Outreach templates or snippets in Gmail?

A: Yes. Once a Template or Snippet has been created in Outreach, they are available for use in Gmail. Compose a new email and click the Template or Snippet icon accordingly to add content. Once you select a template or snippet it will automatically populate in compose window.

Can I add Prospects to a Sequence from Gmail?

A: Yes, Outreach provides users with the opportunity to add a Prospect to a Sequence directly from the email. Once the prospect has been added to the Sequence, a banner appears at the bottom of the compose window. You can edit the sequence settings by clicking on the hyperlinked text in the banner. If you want to cancel sequencing click on the Trash icon in the banner.

I set up Sequence and my email went out. What happens if one of the recipients of the email responds?

A: Outreach's default setting is to detect the reply and stop the Sequence. Users can configure these settings to do otherwise. For more information regarding sequences, refer to the Sequence articles in the Outreach knowledge base. 

I have important emails that I don't want to forget about. Is there a way to "promote" or move these emails, or set reminders so I stay on top of them?

A: Yes. Outreach Reminders enable users to bump emails on the top of the mailbox, create tasks in Outreach, or both. Reminders can also be created automatically for all prospect emails. (more information about automatic creation is in the next question). Configure the reminder as outlined in the table below:

Input pertinent information regarding the reminder.

Note: Bump is a message sent to your inbox as a reply to the message it is linked to. Bumps are not visible to the prospect. 

Once the reminder is set, a banner appears at the bottom of the compose window. You can edit the reminder settings by clicking on the hyperlinked text in the banner. If you want to cancel the reminder click on the Trash icon in the banner.

Once you send the email with a reminder, a bell icon will be placed next to the subject line to indicate the reminder set.

Can reminders be configured as automation?

A: Yes. For more information refer to the How To Enable Automatic Reminders in Gmail article.

I can set the note for a reminder. Where does the note display?

A: On a bump, the note will be included in your Outreach bump reminder email. For task reminders, the note will be available in the notes task section. 

How do I avoid reminders or notes in reminders being accidentally sent to Prospects?

A: Outreach sends bump reminders to your inbox. These reminders are separate from your communication with the Prospect.

How do I schedule meetings or let Prospects know when I am available?

A: Outreach Everywhere makes scheduling meetings and providing availability simple. You can either insert proposed times directly to the body of the email, alternatively, you can add the link to your public calendar. Click the Meetings icon (calendar) in the sidebar or ribbon and select the applicable option as described in the table below.

How do the proposed times look like in the body of the email?

Can I delay or schedule when an email sends?

A: Yes. After finalizing your draft email, click the clock icon next to the Send with Outreach button to open a scheduler. Emails scheduled to be sent later are located in Drafts.

Can email activities be linked to opportunities from Gmail?

A: Yes. With the Associate Email Activity enabled, Users can select an opportunity to associate with an email to ensure clear and accurate visibility into the progress and history of an opportunity.
