Objective
Outreach provides Users the ability to track and report when a Prospect has engaged with an email sent from Outreach in two ways: when email recipients open emails (open tracking), and when they click on links in emails (click tracking). Review the details about these options below.
Applies To
- Outreach Users
Open Tracking
Overview
Open Tracking provides the User the ability to track if a Prospect has opened an email by adding an invisible pixel to the email. Each time the email is opened, the pixel is downloaded and Outreach registers the action in-app.
Note: Outreach tracks email opens if the email is opened by the same person multiple times, or if the recipient forwards the email and a new recipient opens the email.
How to Track Opens and Open Count for an Email
You can see if a Prospect has opened an email by accessing the Outreach Email outbox (Activity > Email outbox) and viewing the eyeball icon in the State column.
The appearance of the open tracking icon illustrates the Prospect engagement.
- Blue without a number = The Prospect has opened the email once.
- Blue with numbers in the upper right corner = The email was opened more than once (the count is indicated by the attached number).
- Grey = The email has not yet been opened.
Considerations
- If open tracking is enabled for your org, the Opens option is on (checked) by default for email messages and templates.
- Disabling the open tracking option while composing an email applies to the current email only.
- Enabling or disabling the open tracking option is not retroactive (read: will not impact other emails on which tracking was previously already enabled or disabled).
- A registered open can be triggered by email servers scanning the mailings, and tracking may be blocked by email servers for security and privacy reasons.
- When using the Outreach Everywhere Extension in Gmail, your browser should remember the last selected settings for tracking, but this will not sync to sending emails inside of Outreach.
Click Tracking
Overview
Click tracking provides the User the ability to track if a Prospect has clicked a link within an email. If a prospect clicks on an unsubscribe link included in the mailing, this will not count toward click tracking.
If an email contains three links, and each link is clicked once, then Outreach reports the click-tracking number as three. We cannot determine or display which link within a given email was clicked, only if a link was clicked. If multiple links are included in a message, we cannot say which link was clicked.
The prospect does not need to also reply to the email for us to track that click engagement. We can track the click engagement as long as the link is clicked, even if the message was not replied to.
How to Track Link Clicks and Click Count for an Email
You can see if a Prospect has clicked a link (must be hyperlinked) in an email by accessing the Outreach Email outbox (Activity > Email outbox) and viewing the chain link icon in the State column.
The appearance of the click tracking icon illustrates the Prospect engagement.
- Blue without a number = The Prospect has clicked a link in the email once.
- Blue with numbers in the upper right corner = Multiple link clicks in the email occurred (the count is indicated by the attached number).
- Grey = No link in the email has been clicked yet.
Considerations
- Click tracking can cause links in your emails to be expanded, which sometimes triggers spam filters. This can impact your email deliverability. To address this, you can:
- Try turning click tracking off if you suspect it is causing issues.
- Alternatively, set up a Branded URL, a more effective solution that adds a layer of legitimacy to your emails and helps prevent them from being flagged as spam.
- The link must be a hyperlink by using the Add link button in the template toolbar. It cannot be the full URL link directly in the message body. If you're simply typing in www.Outreach.io in the message body, click tracking won't work. It must be added as a hyperlink.
- Outreach tracks that a link is clicked, not which link is clicked.
- If click tracking is enabled for your org, the Clicks option is off (unchecked) by default for email messages and templates.
-
When creating a new sequence step, click tracking must be enabled at each step.
- Alternatively, click tracking can be enabled at the template level.
- A Prospect clicking the unsubscribe link will not count as a click.
- A registered click can be triggered by email servers scanning the mailings, and tracking may be blocked by email servers for security and privacy reasons.
- When using the Outreach Everywhere Extension in Gmail, your browser should remember the last selected settings for tracking, but this will not sync to sending emails inside of Outreach.
Enabling/Disabling Email Tracking
Outreach Admins have the ability to allow or restrict tracking on email engagements when using the Outreach Platform.
Once tracking is enabled (boxes checked by Admins), Users will have the ability to toggle open and/or click tracking per email or on email templates.
Learn more about how to enable and disable these options as an Admin and an End User here.
