Objective
The purpose of this article is to provide guidance to Outreach users and admins on how to set up and manage scheduled workflows for Research Agent.
Schedule Workflows for Research Agent allow teams to automatically run Research Agents on a recurring cadence, ensuring account insights stay up to date without manual intervention.

Before you begin
- Research Agent must be configured by RevOps users from the Research Agents tab in the Outreach platform
- At launch, only the Account object is supported
- You must have the following permissions enabled:
- Can run research agents
- Create and configure research agent scheduled workflows
- Ensure Research Agent fields are already configured and available for use.
- Scheduled Research Agent runs consume credits in the same way as manual runs.
- Execution history is retained for a limited period as part of system guardrails.
Overview
We are introducing Schedule Workflows for Research Agent, which allows teams to automatically run Research Agents on a recurring schedule. With support for daily, weekly, and monthly cadences, Scheduler ensures Research Agent insights are refreshed consistently—without requiring manual intervention.
By automating Research Agent execution, Scheduler helps teams maintain up-to-date account insights at scale, reduces operational overhead for RevOps, and allows sellers to focus on engaging customers rather than managing research workflows.
What is new?
- Users can now schedule Research Agent runs on a Daily, Weekly, or Monthly cadence.
- Schedules can be created In bulk, selecting multiple accounts and one or more Research Agents.
- A new Scheduler Home provides centralized visibility into all scheduled workflows across the platform.
- Execution history with run- and account-level visibility, allowing teams to easily track which accounts are part of each scheduled workflow.
- Users can manage schedules with actions such as Pause, Resume, Run Now, and Delete.
- The feature supports both run once manually and run + schedule workflows.
Procedure
Setting up the Schedule
- Navigate to the Account List View.
- Apply filters to define the set of accounts you want to run a Research Agent on or include in a recurring schedule.
- Select accounts by:
- Bulk selecting all accounts that match the applied filters, or
- Manually selecting/deselecting specific accounts from the list.
- Click Research AI Fields to begin the Research Agent flow.
- Select the Research Agent fields you want to run research on.
- Click Run Research Agent to execute a one-time manual run, which immediately updates the selected fields.
- To set up a recurring workflow, enable the Recurring Research toggle.
- Enter a Schedule Name to identify the scheduled workflow.
- Choose a cadence from the available options:
- Daily → Select the time of day for the schedule to run.
- Weekly → Select the day of the week and time for the schedule to run.
- Monthly → Select the day of the month and time for the schedule to run.
- Optionally, define an End Date to automatically stop the schedule after a specific date.
- Choose how you want the workflow to proceed:
- Schedule only → Sets up the recurring schedule without running research immediately.
- Run and Schedule → Runs the Research Agent once immediately and also sets up the recurring schedule.
- Review the schedule summary in the confirmation modal, including:
- Schedule details
- Estimated credit consumption per scheduled run
- Click Schedule to finalize and activate the scheduled workflow.
Schedule Execution
Users can monitor scheduled runs by navigating to Admin → Workflow Automations → Scheduled Workflows, where each schedule’s execution status is tracked.
- Once a Schedule Workflow is set up, the Research Agent runs automatically based on the defined cadence (Daily, Weekly, or Monthly).
- Scheduled runs execute without requiring any manual intervention from users.
- If accounts are bulk selected using filters during setup, the schedule will re-evaluate the filter criteria each time it runs, and Research Agent will execute for all accounts that currently match the filters.
- If accounts are manually selected or deselected, the schedule will always run only on the explicitly selected accounts.
- If Overwrite existing field values is enabled during setup, the Research Agent will overwrite the selected fields every time the schedule runs.
- To set up a schedule that only updates newly matching accounts:
- Apply filters and bulk select all matching accounts.
- Select the Research Agent fields to schedule.
- Disable Overwrite existing field values.
- Complete the schedule setup.
On each run, the schedule will:
- Re-evaluate the filters,
- Identify accounts where Research Agent fields are already populated,
- Run research only for accounts where the fields are empty.
Note:
- To avoid duplicate work, if a Research AI field for an account was updated recently by another schedule, it won’t be run again for the same account within 24 hours.
Schedule Home Visibility & Management
- All scheduled workflows can be viewed from Admin → Workflow Automations → Scheduled Workflows, which serves as the central home for managing schedules.
- The Schedule Home provides a list view of all schedules with key details, including:
- Schedule name and associated workflow (e.g., Research Agent)
- Status (Active, Paused, Failed)
- Frequency
- Created At
- Creator
- Users can take actions directly from the Schedule Home for individual Schedule by clicking on the 3-dot menu:
- Pause or resume scheduled workflows
- Delete schedules when they are no longer needed
Schedule Overview & Execution History
Each schedule supports a detailed drill-down view that provides deeper visibility into its configuration, impacted accounts, and execution history.
Overview Tab
The Overview tab provides a snapshot of how the scheduled workflow was configured, including:

Selected Accounts
Displays the scope of accounts included in the schedule, based on:- Filters applied at the time of setup, or
- A fixed list of accounts if manually selected.

Research Agents in this Schedule
Shows the Research Agent fields selected during setup that are included in the recurring runs. -
Research Options
Indicates whether Overwrite existing field values was enabled or disabled when the schedule was created. -
Schedule Frequency
Displays the cadence and timing configured for the recurring Research Agent runs.
Accounts Tab
- Lists all currently qualifying accounts that are part of the schedule.
- For filter-based schedules, this reflects the latest set of accounts that match the defined criteria.
- For manually selected schedules, this shows the fixed set of accounts included during setup.
Runs Tab
- Displays a history of every execution of the schedule, including:
- Run date and time
- Execution status (Completed, Completed with Failures, In Progress, Failed)
- Each run can be clicked to view detailed execution results, including:
- The bulk Research Agent action that was triggered
- Summary counts for Total, Successful, Failed, and Pending executions
- Clicking into success or failure counts redirects users to the corresponding list of accounts, allowing them to see which accounts were successfully updated and which encountered errors.
This drill-down experience gives teams complete transparency into what was scheduled, which accounts were impacted, and how each run performed, making it easy to monitor and manage recurring Research Agent workflows with confidence.
Schedule Governance
To ensure appropriate access and control, only users with the required permissions can set up scheduled workflows for Research Agent.
A user must have both of the following permissions enabled in their profile:
- Can run research agents
- Create and configure research agent scheduled workflows
This ensures that only authorized users can create, manage, and schedule recurring Research Agent runs, while maintaining governance and preventing unintended automation across accounts.
